Terms and Conditions for Package Travel at The Roots Way
Here you can read the terms and conditions for purchasing package travel from The Roots Way. These terms and conditions reflect the agreement between The Roots Way and the customer when purchasing a package travel. The agreement is entered into and implemented in accordance with the Danish Package Travel Act.
Booking

After agreeing on a which package you would like to purchase, you will receive an email with an invoice and information about payment and the tour’s details.
Your experience is only booked once we have received your payment. Shortly after payment, we will send you precise information about your trip with us (packing list, information about the trip and daily program).
Where specified, payment of a deposit is considered written acceptance of the trip and travel terms. If you do not accept the offer by the specified deadline on the invoice or do not pay the deposit on time, The Roots Way is no longer bound by the travel offer.
Deposit*
Upon booking on a certain packages (usually multiple days’ tours), a deposit of 20% of the stated price of the trip is paid. The deposit is not refundable. If the trip is booked with less than 60 days until departure, the full amount must be paid immediately. The booking is binding when a deposit is transferred.
The invoice for the trip specifies a date for the latest time for payment of the deposit. It is also your responsibility to pay the balance within the stated payment deadline 8 weeks before departure – the date is shown on the travel invoice. Otherwise, the purchase is considered to be in breach and the trip will be canceled from The Roots Way’s side. Under special circumstances, the timing of deadlines can be changed and this will be indicated on the invoice.
Payment
The Roots Way only accepts payment by bank transfer. For the one-day experiences we accept also cash payment. The amout has to be payd before the start of the tour.
Travel and cancellation insurance*
Travel and cancellation insurance is not included in the price of the trip. The Roots Way recommends that you have or pursue your own travel and cancellation insurance. Both travel and cancellation insurance must always be pursued at the same time as booking the trip and before paying the deposit. The Roots Way does not offer cancellation and travel insurance and trips will not be carried out without it.
You are responsible for taking out the correct cancellation and travel insurance with your own insurance company. The insurance must include coverage in the event that you cannot participate in the package tour due to illness or alike. The Roots Way cannot be held responsible for expenses incurred due to a participant’s lack of insurance.
In Italy, which is a member of the European Union, your blue health insurance card is valid. This entitles you to the same health care as Italians. If the country’s own citizens have to pay for example for a doctor’s visit or a hospital admission, you as a traveler will have to pay the same in case of need. Expenses for home transport are not covered by the blue health insurance card, but it may be covered by an extended travel insurance.
Cancellation terms for one/two days’ experiences
Refunds will only be issued for cancellations made within two days or less prior to departure. In case of bad weather, the eventual cancellation of the day will be communicated by The Roots Way the day before. In case of cancellation on our part, we will suggest an alternative date and if this does not meet your needs, the cost of the day will be fully refunded.
Cancellation by the traveller of multiple days’ tours*
A cancellation must be made at least 61 days prior to the departure date, after which The Roots Way will refund you the paid amount, excluding the paid deposit. In case of cancellation between 60 to 30 days prior to the departure date, 50% of the price of the trip will be refunded. In case of cancellation later than 30 days before the departure date, the trip will not be refunded.
Cancellation by The Roots Way of multiple days’ tours*
A trip can be cancelled due to unforeseen circumstances beyond our and our partners’ control (force majeure-like conditions). In such cases, you are entitled to a refund of the paid amount for the trip, excluding the deposit. No compensation is given in these cases. However, the refund is subject to the Danish Ministry of Foreign Affairs advising against travel to the relevant area, and the events occurring after the booking of the trip.
If the implementation of the trip depends on a minimum number of participants, the number will be stated in The Roots Way’s offering material. If the necessary number of participants is not reached 30 days before departure, The Roots Way can cancel the trip without liability and you will have the opportunity to book a new date or get a full refund of the paid amount.
Transfer of the reservation to another person
The experiences can be transferred to a third party (e.g. family members or friends) free of charge, but with any costs that The Roots Way may incur from the trip’s partners.
The change of traveller must be communicated via email or phone no later than 2 days before the departure for one/two days’ travel experiences and no lather than 14 days before the departure date for multiple days’ travel offers.
Covid-19
You are responsible for keeping yourself informed about travel requirements and eventually for having valid Covid-19 documentation before your trip.
Complaints
If you experience a deficiency during the trip, you must immediately report the deficiency. This must be done immediately to the tour leader or to The Roots Way by phone: +45 50328949 or email: info@therootsway.com. This must be done so that we can correct the deficiencies as soon as possible to ensure a good trip for you.
If you fail to complain as described, you may lose the right to complain about the deficiencies subsequently in accordance with the Danish Package Tours Act § 26.
Any complaint must be sent in writing and no later than 4 weeks after returning home. If the problem cannot be resolved to the customer’s satisfaction together with The Roots Way, you can bring the complaint to the Danish Package Travel Appeals Board no later than 6 months after returning home.
